Build a useful inventory
Start with the devices, business applications, and accounts that support everyday work. Record their business purpose and the person responsible for them. You do not need to include passwords or secret keys in an inventory shared for an initial inquiry.
Make a separate note of services supplied by outside providers, including hosting, email, internet access, or specialist software. Knowing who manages each part helps route a question to the right person.
Describe issues with context
Record what happened, when it happened, and which users or tasks were affected. A message such as “the report fails after selecting a date” is more actionable than “the software is broken.”
Note whether the issue is consistent or intermittent and whether anything changed recently. If a screenshot is useful, remove personal information, credentials, and confidential customer details before sharing it.
Consider access and continuity
Document how people are given access to business systems and how access is reviewed when responsibilities change. Identify business-critical information and who can help recover it when something goes wrong.

Set clear expectations
Explain the impact of a problem, your preferred communication method, and any time constraints. Ask directly about available support, response arrangements, scope, and charges rather than assuming these are included.
